How KSM Driving Tuition uses your information, looks after your privacy and helps you stay in control of your personal data.

About this policy

Last updated: 4 November 2026

This policy explains how KSM Driving Tuition uses personal information when you visit our website, contact us, join a waiting list, enquire about instructor training or use our driving tuition services.

KSM Driving Tuition is responsible for the personal information it collects and uses for these purposes. You can contact us about your privacy at info@ksmdrivingtuition.co.uk, by calling 07595 478925, or by writing to KSM Driving Tuition, 16 Oxcroft, Acle, Norwich NR13 3JP.

Information you give us

The information we receive depends on how you contact us and the service you need. It can include:

  • Your name, email address, phone number, address or postcode.
  • The details in your enquiries, messages and correspondence with us.
  • Your driving experience, theory-test status, preferred lesson dates and tuition requirements.
  • Information needed to arrange and deliver lessons, such as relevant driving-licence details, date of birth, booking records and lesson progress.
  • Payment and transaction records relating to lessons or courses.
  • Information you choose to provide about instructor training or working with KSM.
  • Your choices about receiving updates, publishing photographs and using optional cookies.

We may also receive relevant booking or contact information from a parent, guardian or instructor acting with you. Please only provide another person’s information where you are entitled to do so.

Please avoid including detailed medical information, card details or copies of identity documents in a general website enquiry. Speak to us directly if information relevant to lesson safety or additional support needs must be discussed.

Why we use your information

We use personal information for the following purposes:

  • Answering enquiries and arranging tuition: to respond to your questions, discuss suitable lessons and take steps you request before making a booking. Our lawful basis is taking steps towards a contract, or our legitimate interest in responding to a general enquiry.
  • Providing lessons and courses: to manage bookings, communicate with you, support your learning and provide the service you have agreed with us. Our lawful basis is performing our contract with you.
  • Managing the business: to keep appropriate booking and financial records, deal with complaints, protect our services and resolve disputes. Our lawful basis is our legitimate interest in running a reliable, safe tuition service, or a legal obligation where one applies.
  • Meeting legal and safeguarding responsibilities: to comply with applicable requirements and share information where necessary and lawful to protect a person at risk. The lawful basis depends on the circumstances, including legal obligations or the protection of vital interests.
  • Optional updates and photographs: to send updates you have asked for or use identifiable promotional photographs with the relevant consent. Our lawful basis is consent, which you can withdraw.

Where we rely on a legitimate interest, we must consider your rights and the effect on your privacy. You can object to that use of your information.

Information about health or disability has additional legal protection. A separate condition under UK data protection law is required if such information is used; the relevant purpose and condition should be explained when that information is requested.

Guide the Drive waiting list

If you join the Guide the Drive waiting list, we use your name, contact details, postcode and information about your role to contact you about the programme and check whether we cover your area for an in-car session.

We use your contact opt-in to send the Guide the Drive dates and booking information you have requested. You can change your mind at any time by contacting info@ksmdrivingtuition.co.uk. Withdrawing this permission does not affect messages we need to send about a booking you subsequently make.

Who may receive your information

Relevant information may be shared with an assigned KSM instructor so they can discuss, arrange and provide your tuition. If we arrange a driving test on your behalf, the information needed for that booking may be passed to the Driver and Vehicle Standards Agency (DVSA).

Website hosting, email, form and other service providers may handle information as part of providing the systems we use. We may also share information with professional advisers, insurers, regulators or public authorities where necessary for a legitimate purpose or to meet a legal requirement.

We aim to limit sharing to information relevant to the purpose. Where another organisation acts independently, its own privacy notice explains its responsibilities and how it uses information.

Website services, cookies and external links

Our website uses WordPress and Elementor. Website fonts are served locally. Google reviews are displayed through Trustindex with local assets enabled.

The contact page includes an optional Google Maps embed. The map is blocked until you allow the relevant optional content. If you enable it, Google may receive technical information, including your IP address and browser information, and may use cookies or similar technologies under its own privacy notice.

Our Cookie Policy describes the consent cookies, browser storage and optional content configured for the website. You can review your cookie choices at any time.

Links to services such as Facebook, WhatsApp and original reviews take you to services with their own privacy policies. If you contact us through one of these services, that provider also processes information under its own terms and privacy notice.

International processing

Some external service providers may process information in countries outside the United Kingdom. The countries and arrangements depend on the service involved. Their privacy notices provide information about their processing.

Where an overseas transfer of information under our responsibility requires protection under UK data protection law, an appropriate lawful transfer arrangement is required. Please contact us if you would like information about the providers and transfer arrangements relevant to your enquiry or booking.

Photographs and learners under 18

We may ask to use a learner’s pass photograph or other identifiable image on our website or social-media pages. Choosing not to take part does not affect your tuition.

For learners aged 18 or over, we ask for the learner’s consent. Our safeguarding policy requires written consent from a parent or legal guardian for promotional images of a learner under 18, together with the young person’s agreement. We will not publish an image if the young person objects.

You can withdraw consent for future use by contacting us and identifying the image. We will take reasonable steps to stop future use and remove it from channels we control. Copies already shared by other people may remain outside our control.

Information about younger learners is handled with their privacy and safeguarding in mind. Relevant information may be shared where necessary and lawful to protect a child or person at risk.

How long we keep information

We keep personal information for as long as it is needed for the purpose for which it was collected. The period depends on the type of record, whether an enquiry leads to a booking, whether tuition is ongoing, relevant legal or accounting requirements, and the time reasonably needed to deal with a complaint or legal claim.

Information used only for optional updates is kept while it remains relevant to the updates you requested or until you withdraw permission. We may keep a limited record of your preferences so we can respect your choice.

You can ask us about the retention period that applies to a particular record. A request to delete information will be considered alongside any legal requirement or other lawful reason to retain it.

Keeping information secure

We take reasonable steps to protect personal information from loss, misuse and unauthorised access, and to limit access to people who need it for their work. No website, email system or method of storage can be guaranteed completely secure.

Please contact us promptly if you believe personal information relating to KSM has been sent to the wrong person or handled incorrectly.

Your data protection rights

Depending on the circumstances and the lawful basis for the processing, you may have the right to:

  • Ask for access to your personal information and a copy of it.
  • Ask us to correct information that is inaccurate or incomplete.
  • Ask for your information to be erased.
  • Ask us to restrict how your information is used.
  • Object to processing based on legitimate interests and to direct marketing.
  • Receive certain information in a portable format.
  • Withdraw consent where we rely on it.

These rights are subject to the conditions and exemptions in data protection law. Withdrawing consent does not affect the lawfulness of processing carried out before withdrawal.

To make a request, contact info@ksmdrivingtuition.co.uk. We may need information to confirm your identity and understand your request. We will respond within the timeframe required by law, normally one month.

Where information is necessary to arrange or deliver a service, we may be unable to provide that service without it. Optional updates, promotional photographs and optional cookie choices are separate choices.

Questions, complaints and changes

If you have a concern about how we use your information, please contact us so we can look into it.

You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator. Visit ico.org.uk/make-a-complaint or call 0303 123 1113.

We may update this policy when our services or data practices change. The date at the top of this page shows when it was last updated.
